Privacy Policy

FinBot is an independent online software service. If you need to contact us about privacy, legal notices, or data requests, email neuralbeat_service@outlook.com.

We may collect the following categories of information:

• account information, such as your email address, authentication credentials stored in protected form, verification status, and subscription status
• content you provide, including uploaded documents, chat questions, source selections, and related document metadata
• billing and payment records needed to manage subscriptions, invoices, charge status, and transaction history
• technical and usage information, such as browser type, device information, IP address, authentication events, page requests, error logs, and security logs
• support communications, including emails or messages you send us about the service

We collect information from:

• you directly, when you create an account, upload a document, ask a question, subscribe, or contact support
• your browser or device automatically, through cookies, browser storage, server logs, and similar technologies used to operate and secure the service
• service providers and third parties, such as payment processors, email delivery providers, analytics or monitoring tools, and AI infrastructure used to deliver the service

We use information to:

• provide document upload, search, and chat functionality
• authenticate users and secure accounts
• process subscriptions and billing
• send service emails such as verification and password reset messages
• monitor reliability, prevent abuse, and troubleshoot issues
• improve product quality and answer quality over time
• comply with legal obligations and enforce our terms

FinBot processes uploaded documents, chat questions, and document excerpts to provide answers, extract tables or metrics, and return cited responses. To do that, we may send relevant content to our document-processing, AI, embedding, retrieval, and hosting providers.

We do not use customer content to train general-purpose foundation models. We seek to limit provider use of customer content to operating the service, where provider controls are available.

Authorized personnel may review limited account content when reasonably necessary for support, debugging, abuse prevention, safety, legal compliance, or service reliability.

FinBot stores submitted question text and limited related metadata to improve product quality, reliability, and support workflows. Raw question analytics are retained for up to 180 days.

Question logs are not used to train general-purpose foundation models.

FinBot uses cookies, local storage, and similar technologies to keep you signed in, remember app state, secure sessions, and operate core product functionality.

If analytics is enabled, we may also use analytics tags or similar tools to understand traffic, feature usage, and reliability. We do not currently use third-party advertising cookies for behavioral advertising.

FinBot does not currently respond to browser “Do Not Track” signals. If we add non-essential tracking or region-specific consent controls, we may update this policy and related notices.

We may share information with service providers that help us operate FinBot, including:

• cloud hosting, storage, database, and infrastructure providers
• document-processing, AI, and embedding providers
• email delivery providers for account and support messages
• payment processors for subscriptions and billing
• analytics, security, and error-monitoring providers

We may also disclose information if reasonably necessary to comply with law, respond to valid legal process, protect the service or other users, investigate abuse, or support a merger, financing, or asset transfer.

FinBot does not sell personal information or share personal information for cross-context behavioral advertising.

FinBot and its service providers may process or store information in the United States and other countries where those providers operate. Those countries may have privacy laws that are different from the laws where you live.

Where required, we may rely on contractual, organizational, or technical safeguards to support those transfers.

We retain different categories of information for different periods:

• raw question analytics: up to 180 days
• service logs, error logs, and security diagnostics: typically 30 to 90 days, unless a longer period is needed for an investigation or legal requirement
• uploaded documents, chat content, and account records: while the account remains active and for a reasonable period afterward to operate the service, resolve disputes, maintain backups, or comply with legal obligations
• subscription, billing, and tax-related records: for as long as needed to comply with accounting, tax, and legal requirements

Some data may remain in backups or archival systems for a limited period after deletion.

If you request account deletion, we will delete or de-identify information from active systems within a reasonable period, except where retention is needed for security, billing, tax, legal, or backup purposes.

Depending on where you live, you may have rights to request access, correction, deletion, export, or a copy of certain personal information we hold about you.

FinBot currently accepts privacy requests by email. To submit a request, contact neuralbeat_service@outlook.com. We may ask for information needed to verify your identity before completing a request.

FinBot does not sell personal information or share personal information for cross-context behavioral advertising.

FinBot is not directed to children under 13, and we do not knowingly collect personal information from children under 13. If you believe a child has provided personal information through the service, contact us so we can review and delete it where appropriate.

We use reasonable administrative, technical, and organizational measures to protect account data and uploaded content. No system is perfectly secure, so we cannot guarantee absolute security.

We may update this Privacy Policy as the service changes. If we make material changes, we may revise the effective date here and may provide additional notice when appropriate.
